Pacific College Job Announcement – Director of Clinical Services – San Diego Campus

Pacific College is seeking a dynamic individual for the position of full-time Director of Clinical Services at our San Diego campus. This position is an onsite position.

General Job Summary:

The Director of Clinical Services manages the daily functions and operations of the Pacific College Clinic and ensures the smooth flow of clinic and office operations.  This position intervenes and models the handling of customer service needs and maintains a professional demeanor at all times.  The Director of Clinical Services ensures knowledge of and adherence to clinic and college policy and procedure by clinic supervisors, student interns, assistants, observers, and patients.  Acts as the Campus Safety Manager and HIPAA Officer.

The Director of Clinical Services works closely with the Associate Dean of Graduate Studies and the Institutional Clinical Practice Chair who handles all academic functions of the Acupuncture programs.

Essential Functions & Responsibilities:

Business

  • Communicates weekly with the Campus Director (CD) regarding clinic business and policy determinations to ensure the smooth flow of activities at the clinic and with off-site clinical partnerships.
  • Develops and maintains clinical partnerships with community partners and health systems.
  • Updates malpractice insurance for students and faculty annually each term.
  • Manages and oversees the appropriate utilization of NexusClinical (EHR).
  • Finalizes the clinic schedule for upcoming term by middle of current term.
  • Oversees cash flow and deposit process.
  • Inputs annual edits of the clinic manual.
  • Ensures proper maintenance, security, archiving, and disposal of patient records.
  • Maintains effective and efficient delivery of clinical and pharmacy goods and patient services both on campus and in the off-site clinical locations.
  • Monitors patient flow and ensures the clinic is adequately staffed.
  • Oversees, orders and ensure organized storage and organization of clinic supplies.
  • Oversees year-end inventories and ensure they are complete as of December 31st each year.
  • Oversees timely repair and replacement of clinical equipment.
  • Ensures all administrative and housekeeping responsibilities are completed during each semester break.
  • Provides input on operational cost-effective and quality operations.
  • Advises CD on issues of compliance with all State and Federal regulations.
  • Ensures compliance with local regulations, including fire drills and regulations.
  • Ensures that professional and support staff properly implement clinical policies and procedures.
  • Reports to the CD/Clinic Chair on security of supplies/inventory, patient records, and employee records.
  • Understands all aspects of deposit procedure, billing and collection, and ensures security and accuracy in each area.
  • Prepares, and distributes statistical data regarding department operations to the CD. 
  • Develops and ensures all procedures in the clinic are in accordance with OSHA and HIPAA guidelines.
  • Develop training as necessary and ensure all clinic employees and students are trained regarding OSHA and HIPAA as required.
  • Reports on clinical needs, problems, concerns to the CD.

Faculty & Student:

  • Orients new supervisory staff members to the College and clinic protocols and services.
  • Audits CourseKey for student attendance on a regular basis.
  • Liaisons with Clinic Chair, supervisors, staff, patients, and students.
  • Helps conduct or ensure clinic orientations occur each term.
  • Ensure students in the clinic have received CPR/First Aid training before beginning courses in the clinic.
  • Answers clinical policy questions from students, patients, and faculty and educates the clinical community in these matters, daily
  • Provides input to the Dean & Registrar regarding changes in Intern and Assistant schedules.
  • Monitors adherence to clinic attendance policy, including make-up of shifts.
  • Helps as needed with the clinical evaluation process.
  • Serves as a member of the Quality Assurance Committee.

Supervisory:

  • Manages workflow and operations of student clinic.
  • Interviews and help hire faculty to operate in the student clinic and offsite affiliates.
  • Reviews supervisor performance annually or as needed.
  • Interviews and helps hire clinic office staff and reviews staff performance annually or as needed.
  • Trains and supervises all clinic office staff.
  • Coordinates with human resources and payroll team for staff hiring, confirming/reporting payroll hours, staff transition.
  • Ensures all staff, faculty and students are aware of OSHA and HIPAA, and MERSA requirements.
  • Monitors staff phone etiquette to ensure that calls are handled professionally, with the highest quality customer service provided.
  • Fosters the definition of customer as “anyone to whom we provide a service” in relation to all stakeholders, including students, patients, faculty, staff, visitors, etc.
  • Models and provides training in “exceeding customer expectations” via customer service skills. Collaborate with the staff in finding solutions to customer service needs and concerns.
  • Provides input regarding teambuilding strategies, training, staff development, and staff supervision.  
  • Conducts clinic staff meetings to improve communication and training.
  • Suggests needed staff development, process improvement, and facilitates communication with other departments and staff members at the College. 

Miscellaneous:

  • Always represents the college positively, both during and after work hours.
  • Maintains and models awareness of “Team” in working with all customers: students, faculty, patients, and staff.
  • Primary point of contact for reviewing and executing community outreach events with a goal of holding one event per semester.

Reports to: Campus Director

Supervisory Responsibilities: Clinic Office Manager, Clinic Faculty, Clinic Reception Staff, and Clinical Students.

Education and Experience:

Required: 

  • Master’s degree.
  • California Licensed Acupuncturist with at least 5 years of licensed clinical experience
  • Ability to successfully manage a workload and balance long-range planning.
  • Excellent written and verbal communications skills. 
  • 3-5 years managing an office or business.
  • Qualities such as: leadership, interpersonal skills, cooperation, dependability, orderliness, ability to troubleshoot and create solutions
  • Excellent customer service skills
  • Strong computer skills (MS Outlook, Word, Excel, PPT) and ability to learn new computer applications to ensure efficient operations

Preferred:

  • Minimum three – five years of experience in managing a healthcare clinic or business.

Work Environment: The work environment characteristics are representative of those an employee encounters while performing essential functions of the job in a typical office and clinic setting. Able to work sitting or standing at a desk and operate a computer using keyboard and reading information on a monitor.

Salary Range: $73,000.00 – $80,000.00
