Pacific College Job Announcement – Registrar – New York Campus (Hybrid)

Pacific College is seeking a dynamic individual for the position of Registrar at our New York campus. 

*The position is hybrid, with at least 3 days per week required at the New York campus*

General Job Summary: 

The New York Campus Registrar (Registrar) ensures confidentiality, integrity, accuracy, and security pertaining to all academic records.  The Registrar oversees and is responsible for managing the Student Information System. The Registrar also ensures effective student registration and enrollment, builds secure student data files, helps set policies and procedures, maintains up-to-date course schedules, and ensures the efficient use of instructional classroom usage. The Registrar supervises the processes for awarding degrees, enrollment and degree verification, and production of official transcripts and diplomas. The New York Campus Registrar is responsible for interpreting and enforcing the policies and regulations of the College and FERPA. 

Serves as the Primary Designated School Official (PDSO) by assuming responsibility for and managing all SEVIS-related compliance issues for international students.

Essential Functions & Responsibilities:

Registrar Responsibilities

  • Provides leadership for all functions and services for the Office of the Registrar including the student information system, academic calendars, registration, grading, degree and enrollment verification, academic record management, transcripts, the general catalog, compliance, degree management and articulation, and awarding of degrees.
  • Oversees the management of policies and processes providing leadership, innovation, and accountability for the management of all records, enrollment policies, and services that support student success.
  • Provides oversight for the accuracy of student academic records and transcript production in compliance with state, higher education, and college policy.
  • Serves as the college-designated official responsible for maintaining confidentiality of student records adhering to the Family Rights and Privacy Act (FERPA) and other applicable laws and regulations.
  • Supervises the Designated School Officials responsible for veteran certifications.
  • Monitors and verifies student enrollment data essential for official internal and external reporting related to academic and student records to include NYSED, NSLDS, and IPEDS.
  • Oversees training, development, and maintenance of policies and procedures within the Registrar’s Office
  • Supervises, trains, and develops staff within the Office of the Registrar

 Primary Designated School Official (PDSO) / International Student Advisor Responsibilities:

  • Serves as the Primary Designated School Official (PDSO) by assuming responsibility for and managing all SEVIS-related compliance issues for international students.
  • Advises F-1 students on immigration regulations, maintaining immigration status, College policy and other related matters.
  • Manages the I-17 and fulfills other reporting requirements
  • Completes annual Primary/Designated School Official (P/DSO) verification
  • Assign Alternate Responsible Officer (ARO)/ Designated School Official (DSO) for each campus
  • Issues I-20s for admitted F-1 students- Initial/Initial- Change of Status, and Transfer Pending
  • Registers F-1 students in SEVIS for required semesters
  • Reports terminations and other violations, as needed
  • Assists with on-campus employment verifications, reduced course loads, transfer-ins and transfer-outs
  • Issues authorizations for Curricular Practical and Option Practical trainings
  • Advises on eligibility for travel abroad and re-entry to the United States
  • Keeps accurate records for F-1 international students

Additional Responsibilities:

  • Academic calendar
  • Final grade processing
  • Graduation clearance processes and awarding certificates/degrees
  • Manage Anthology as it relates to course scheduling and registration
  • Waiting list

Supervisory Responsibility

  • Oversees the responsibilities of the Alternate Responsible Officer (ARO)/ Designated School Official (DSO) as needed.

Minimum/Required Qualifications:

Job Skills:

Education and Experience:

  • Bachelor degree with 3-5 years of previous Registrar experience in higher education
  • Strong understanding of FERPA
  • Intermediate skills in Microsoft Office Suite (including Word, Excel, PowerPoint, Adobe, Outlook)
  • Experience with Student Information Systems, & online registration
  • Knowledge of accreditation processes with active participation
  • Proven record of successful supervisory experience in a people-oriented environment

Work Environment: The work environment characteristics are representative of those an employee encounters while performing essential functions of the job in a typical office/workstation situation. Able to work sitting or standing at desk and operate a computer using keyboard and reading information on a monitor.
